Wondering whether FreeAgent or Xero is right for your business? Here’s how Lightbulb helps digital founders choose the best accounting software.
When Lightbulb Financial Services Ltd was first established, our intention was to use a single accounting platform for all clients. From an operational point of view, this seemed efficient – less variation, fewer systems to learn, and a streamlined view of all client accounts in one place.
Over time, however, it became clear that one size doesn’t fit all.
Some clients had already been using FreeAgent successfully for years, and for certain types of businesses, it continues to offer excellent value and functionality. Others, with more complex requirements, are better suited to Xero.
Here’s how we help clients make the right choice.
FreeAgent – Simple, Cost-Effective, and Ideal for Sole Traders
For freelancers, consultants, and smaller service-based businesses with relatively low volumes of invoices or expenses, FreeAgent is a strong option.
If linked to a compatible bank account, the software is often free to use - removing the need for a separate software subscription. This means we can offer lower-cost support without compromising on service.
FreeAgent covers all the essentials, including invoicing, bank feeds, basic expense tracking, and standard reporting. For businesses with straightforward needs, it performs exceptionally well.
Xero - Scalable, Automated, and Designed for Integration
For clients with more complex operations – higher transaction volumes, regular supplier invoices, or integrations with other platforms – Xero becomes the more appropriate choice.
Xero offers enhanced automation features such as:
OCR scanning for receipts and invoices
Recurring invoice and bill scheduling
Powerful integrations with CRMs, payment platforms, and automation tools like Zapier
These features not only save time but reduce the risk of manual errors and help provide real-time financial insight.
We often support clients in building out an efficient finance stack using Xero at the core. This may include automated bookkeeping workflows, integrated payment solutions, and live cash flow tracking.
What About QuickBooks or Sage?
We’re occasionally asked why we don’t offer QuickBooks or Sage as a standard option.
The answer is simple - while QuickBooks, Sage and Xero are broadly similar in both price and functionality, Xero consistently delivers stronger integration options, better user support, and a more intuitive interface for our client base. As a result, we’ve chosen to focus on Xero alongside FreeAgent to ensure we can support clients effectively without unnecessary duplication.
That said, if a client is currently using QuickBooks or Sage we are happy to assist with migration to Xero. We have a tested migration process that makes the transition smooth and reliable - it certainly isn't a barrier to joining us.

At Lightbulb, we don’t enforce a default solution. We assess each client’s business model, transaction volumes, software stack, and growth plans before making a recommendation.
For simple, low-volume setups, FreeAgent is often more than sufficient
For growing or complex operations, Xero offers better scalability and automation
Both platforms are cloud-based, HMRC-compliant, and fully supported by our Virtual Finance Office service.
